Reporting New Members & Membership Changes
The Expansion Form is designed to be used for all of your membership
reporting responsibilities. Any changes in membership or
status should be reported immediately. This can only be done
online.
Note: All payments are due upon receipt of
your monthly financial statements.
Officer Section
This portion of The Expansion Form needs to be updated whenever
officers change. It is important to include phone numbers,
e-mail addresses, and dates elected. In addition, include
the names, addresses phone numbers, and e-mail addresses
of new board of trustees chairmen, chapter advisors or
housing corporation presidents.
Roster Section
This portion of The Expansion Form is the only way for the National
Fraternity to know about roster changes. It is imperative
that this it is kept up to date. On the "Left School
Only" section, please record those members who are
no longer taking classes at the school or have transferred.
The area labeled "Left Before Initiation" is
designed for colony members who left or were asked to leave
before initiation or are no longer taking classes at the
University.
"Returning Members" are members who were reported
earlier and then left school, but have now returned to
school. This is also designed for members who may affiliate
with the colony if they were initiated at another chapter
before transferring to your school.
Pledge Section (Colony Members)
All pledges or new colony members need to be entered into
this section with all the required information. It is very
important that the permanent address, date of the colonization
ceremony, date of birth, name of parent or guardian, permanent
phone, and social security number are included. The National
Fraternity uses this information in order to distribute
pertinent information including public relations and educational
materials to its members. After becoming part of the colony,
new colony members need to be reported to the National
Headquarters within 24 hours.
The $25.00 colony fee needs to be sent to the National
Headquarters at this same time. Note that this section
is very important in order to insure that your chapter
roster is complete and up to date with the National Fraternity.
New Initiates
This section is not applicable to colonies until after
the group becomes chartered.
Making Changes
Changes to your colony's roster can only be made by completing
the appropriate sections of The FORM. Remember it is the
colony's responsibility to continually update the roster.
Colony Petition
Everyone in the Interest Group needs to fill out a colony petition and submit it to ATO National Headquarters. For a sample colony petition contact ATO National Headquarters.
Charter Petition
When you are ready to apply for your charter, your petition will have to be approved by the National Board of Directors. For a sample Charter Petition contact ATO National Headquarters.
Sample Bylaws and Minutes
Chapter Bylaws, as well as
Chapter Minutes and Executive Board Minutes are your
starting point. This is where the organizational structure of your colony begins to take form. If you would like a sample of any of this material, contact ATO National Headquarters.
